ClubReady & P I Q Zoom Integration
This article will guide you through understanding ClubReady and PIQ Zoom Integration.

NOTE: Only one Zoom account is needed if there is at least 15 minutes between class end and start times. For example, if you have a class from 9:00 - 9:50am and the next class starts at 10:05am you could use one Zoom account. If your club has a class from 9:00 - 9:50am and a class from 9:30 - 10:30am then you would need a second Zoom account

Setting Up for Virtual Classes in PIQ and ClubReady

1. Purchase a Zoom Pro account

a. Go to https://zoom.us/ to signup & purchase Pro plan

b. If you are wanting to stream more than one class at a time, you will need to purchase another account for each class that will be running simultaneously

2. Generate API credentials for their Zoom account

a. Setting up a JWT App in Zoom site: https://marketplace.zoom.us/docs/guides/getting-started/app-types/create-jwt-app

b. After JWT App is created, copy the API Key and API Secret from Zoom:

3. Input API Key & API Secret to PIQ account located added Manage > Integrations > Zoom Setup

a. PIQ will honor the settings enabled in the Zoom account (i.e. no mic upon entering class). The only default settings PIQ adds are "Enable Waitlist" and "Join Before Host", which are both set to true.

4. Navigate to ClubReady to set the location type (virtual vs. physical) on the class that will be done virtually through PIQ

a. When PIQ sync's with ClubReady, the location is set for each class instance; updating the location in ClubReady for classes going forward would remove the Zoom meeting links in PIQ or add them if the location is "virtual".

Client Booking in PIQ for Virtual Classes:

  • When a client books a class in the web portal it will display whether the class is virtual based on the ClubReady class settings

  • When a member is registered for a virtual class, they will see a "Live" button 15 minutes prior to the class start time

  • The client will remain on this page, but will have a pop-up for the virtual meeting. If the staff member has not started the class yet, the client will see "The class will start once the meeting host joins". If the staff has started the class, the client will see "Please wait, the meeting host will let you in soon".
  • Once the meeting starts, the client will be taken into the waiting room where the instructor should admit the client into the meeting for them to join.
    • At this time, the client will be checked into the PIQ system and the ClubReady system
  • When the instructor admits the client into the class, the client will get the options to connect via computer audio, phone audio and video sharing.
NOTE: When the customer clicks on the Live button, it will check them in and register them as a "Show" to the class.

Instructors Starting Virtual Classes:

  • Navigate to the Admin Portal > Pick location > Click on the class on the schedule > Click "Start Class". (NOTE: this button can only be used 15 minutes before class start time).

  • After the class has started, the instructor will need to admit the clients into the class:

  • When the class is complete, the instructor will need to click "Leave Meeting" > "End Meeting"
