Reports - Referral
This instructional article has been created to review the Referral report and its options. 

Requirements - A Master Admin login or a staff type with the following permissions: 
  • Reporting - Can access reports (must be enabled to see any reports)
  • Reporting - Can access metrics: prospect referral report



Access The Referral Report





To access this report, navigate to Reports > Intelligence > Referrals. Choose your dates from the calendars or preset date ranges.

Select from the following filters: 

Use Consult Bookings or Use First Bookings  

Limit consults/first bookings to prospects added - First bookings held at any time for prospects who were added during the report date range.

Limit consults/first bookings to prospects added & report date range - First bookings held during the report date range for prospects who were added during the report date range.

All consults/first bookings during report date range - All first bookings that occurred during the report date range, regardless of when the prospects were added.

Limit Conversions to Prospects Added - if selected, it will show conversions (and $) only from prospects who were added during the report date range. If left unchecked, the report will return all conversions (and $) for each referral type during the report date range, regardless of when converted users were added as prospects. 

Limit conversions to prospects added & report date range - Users added during the report date range who also converted to members during the report date range

All conversions during report date range - All prospect to membership conversions that occurred during the report date range, regardless of when the prospects were added.

Exclude ClassPass - If you don't want to include ClassPass customers in the referrals report you can exclude those from this report. 

Exclude Gym Pass - If you don't want to include Gym Pass customers in the referrals report you can exclude those from this report. 

Click Run Report.

To export the data, select the floppy disk and choose your method of export: CSV (comma delimited), PDF, or Excel.



Understanding The Referral Report


When selecting Use Consult Bookings filter:



The following information will appear: 

Referral Type - The different referral types which are the "How Did They Hear About Us" field when adding a prospect. Referral Types of Add Prospect API and Unknown are also included. To create additional referral types please review How To Create A Referral Type.
Prospects Added - How many prospects were added during the selected date range per referral type. 
Consults -  How many were scheduled for a consult during the selected date range. 
Consults Shows - How many appeared for their consult appointment during the selected date range and the percentage of booked vs showed. 
Converted - How many who attended their consult were sold an agreement during the selected date range and the percentage of prospects vs converted. This column depends on the parameter selection for conversions. Note that prospects who became members without a consult are also included in the total for this column. 
Gross - All non-voided payments that have been processed with credit card through CR, credit card external to CR, written check, cash, or e-check. The payments could be made at any time - this section isn't limited to the report date range. The payments come from either new referrals and new members, or if the option to limit conversions to only prospects added during the report date range is selected, then the payments are only from new referrals.
Invoice - The total price of all non-cancelled agreements made by either both new referrals and new members from the report date range, or just new referrals (based on the same parameter). The agreements can be from any time and are not limited to the report date range.


When selecting Use First Bookings filter: 



Referral Type - The different referral types which are the "How Did They Hear About Us" field when adding a prospect. Referral Types of Add Prospect API and Unknown are also included. To create additional referral types, please review How To Create A Referral Type.
Prospects Added - How many prospects were added during the selected date range per referral type. 
First Bookings - This depends on the parameter selections for consults/bookings. Regardless of the selecting, only pre-membership first bookings will be included in the count; if the user's membership starting date/time is before the start time of their first booking, the booking will not count in this column. Also, regardless of parameter selection, only bookings in Open, Completed, No Show status are counted.  
Bookings Shows - A count of First Bookings that are in Completed status as of the time the report is run.  
Show % - Booking Shows / First Bookings.
Converted -
 How many who attended their booking were sold an agreement during the selected date range and the percentage of prospects vs. converted. This column depends on the parameter selection for conversions. Note that prospects who became members without a consult are also included in the total for this column. (Converted / Prospects Added)
