This article will guide you through bulk
modification to clients sessions or credits using our Bulk Session Credit
Upload feature.
Requirements - A Master Admin login or a staff type with the following permissions:
- Tools: can access tools
- Tools: can access credits tools
Step 1 - Getting A Prospect Or Customer / Member Export

Under the
Prospect or
Customer/Member tab use filters
to narrow clients down to the desired list. Then click the
excel export icon to export your list.
Step 2 - Acquiring User ID's Of Clients

Copy the
UserID of the clients you will be adding credits to.
Note: You could copy the clients
Barcode information from this
spreadsheet if you wish to use it instead of the
UserID
Step 3 - Accessing ID Numbers Of Your Services And Classes

To access the Bulk Session Credit Upload screen, go to;
Setup> Misc. Setup> Bulk Session Uploads. Next,
Click the link to access the spreadsheet with all of your clubs ID numbers for your
services and classes
Step 4 - Acquiring Session And Class ID Information

This excel spreadsheet contains all of the services
and classes in your site. Copy the
SessionsizeID for the service(s) you want to add to your clients. Copy the
ClassID for the classes you want to add to your clients.
Step 5 - Accessing The Bulk Session Upload Spreadsheet

Go back to the
Bulk Session Credit Upload screen by
navigating to
Tools > Credits > Bulk Session Uploads. To open the
Bulk Session Upload spreadsheet click on the
bulk-session-upload.xls link.
Step 6 - Client Data Entry Into Upload Spreadsheet
Column A: "userid" - This is where you can upload credits by clients customer
id. If you use this column do not enter
anything for barcode or convertedid.
This is where you would enter the userid from Step 2.
Column B: "barcode" - This is where you can upload credits by client
barcode number. If you use client
barcodes do not enter anything into userid or convertedid. You can enter the Barcodes for clients from
Step 2.
Column C "convertedid" - This is where you can upload credits by the
clients converted id. This is only an
option if you converted from another club management system to clubready. If you use this option do not enter anything
into userid or barcode.
Column D: "sessionsizeid" - This is where you enter the sessionsizeid that
you acquired in
Step 4. This is how the upload will know what session
to add to the client.
Column E: "classid" - This is where you enter the
classid that you acquired in
Step
4. This is how the upload will know
what class to add to the client.
Column F: "sessions" - enter the quantity of sessions or classes you wish
the upload to add to the client.
Column G: "expiresdate" - enter in a date you want the sessions or classes
to expire. If you leave this blank there
will be no expiration date.
Column H: "wipe existing" - If you enter a 1 it will wipe
ALL existing session credits for the userid
you entered. If you leave this blank no
sessions or classes will be removed.
Column I: "flag" - This is used to place a notation on this session. For example, if you would like to flag a client's uploaded session credits as "grandfathered", you would place a 1 in this column for your upload.
Column J: "customfield" - This is a column for ClubReady Staff to do
initial conversions, you can disregard this field.
Column K: "unitvalue" - This column allows you to enter in the price per
session or class. This is important to assign, if
you have setup to pay your staff a percentage of a class or session price rather than a set fee.
After you have entered the necessary information to your file; be sure to save your spreadsheet as
comma separated value (.csv). The upload process does not understand an .xls (excel format).
Step 7 - Start Bulk Upload

Go back to the Bulk Session Credit Upload screen by
clicking on the
Setup tab and then select the
Bulk Session Uploads option under the
Misc. Setup menu.
Select the
Choose File option. Locate and select your saved excel file.
Select the
Upload CSV File button.

This will take you to a confirmation screen, informing you how many entries were found in the file.
Email A log file of the additions - Enter your email address if you want a log file of the additions that you can refer to later.
Select the Do Bulk Add button to complete the bulk session upload.
