This article and video will assist you with the options for managing an agreement that has gone into third party status.
Requirements - A Master Admin login or a staff type with the following permissions:
- Member Management : General - Can access client options
- Member Management: Payments Related - Can view client billing information
- Member Management: Managing Agreements - Can view client agreements
- Member Management: Managing Agreements - Can take agreements out of 3rd party collections status
- Member Management: Managing Agreements - Can reinstate cancelled agreements regardless of allowed days limit
Managing A Third Party Agreement
Locate the Agreement

Select the client after locating them under the Prospects or Members/Customers tab then click on the Agreements tab. Click on the Full Details button located next to the agreement you will be changing the 3rd party status on. This will take you to the Agreement Summary.
1. Reinstate the Agreement

You want to use this option if you are going to work with your client in the club to bring their account to good standing. Click on the Reinstate button to review the options of Reinstating the agreement.

Agreement Evergreen (auto-renew) - In reinstating this agreement do you wish to have the agreement auto-renew moving forward until cancelled.
Update Membership Expiration - Update the expiration date to make the customer active or keep the current expiration date
Confirm/Update the due dates on invoices due in the future or not yet paid. Click Reinstate Agreement to process this request.
2. Change 3rd Party Status

Click on the
Change 3rd Party Status button.

Not 3rd
Party - Still Cancelled - Changes the status to cancelled, instead of 3rd party, and leaves all invoices
cancelled as well. If you are reinstating the agreement you will want to perform this step as well.
Settlement - This allows you to mark the amount that the customer paid to the third party agency (outside of ClubReady). Invoices will not be
reinstated, but an invoice will be created and marked as paid for the settlement amount. Screenshot below of how this will appear under Invoices.

- If you change the status of a 3rd party to not third party, how does the collection agency know its been changed and to stop contact?
The third party collection agency "Swift Funds" must be notified via email
Sjaworski@clubready.com of this change in order to stop contact.
- Where can I see if a client was previously placed into third party collections? If a client is placed into third party collection status or removed from third party collection status, this will be automatically logged under the clients agreement notes. Client > Agreements > Full Details > Notes.This will also be logged under clients profile notes.
